Receptionist/Administrative Assistant

Tubman is seeking a full-time Administrative Assistant/Receptionist who is highly motivated, provides superb customer service, and wants to support a growing and dynamic organization.



  • Greet, welcome, announce, and direct facility guests
  • Answer and direct incoming phone calls
  • Provide basic agency information to both visitors and callers
  • Maintain employee and department directories
  • Process mail and manage deliveries
  • Process cash, check, credit card and in-kind gifts
  • Provide administrative support as needed for multiple departments
  • Manage mailings, faxing, filing, copying, preparing meeting materials
  • Monitor and maintain copier, fax, postage meter and supplies for each
  • Maintain accurate electronic files and database records and assist with data entry
  • Prepare, edit, and modify documents, including correspondence, memos and reports
  • Coordinate agency-wide and site-specific projects and activities
  • Schedule and coordinate meetings, appointments and meeting spaces
  • Maintain the inventory of supplies
  • Maintain a safe and tidy reception area
  • Open building at beginning of day and close building at end of day


Work Location and Hours

Harriet Tubman Center West, 3111 First Avenue South, Minneapolis, 55408 (easily accessible via public transit), 38 hours per week, Monday – Thursday, 8:00AM – 5:00PM, Friday 8:00AM – 12:00Noon


Minimum Qualifications

  • Excellent communication, customer service, and problem-solving skills
  • Intermediate proficiency with Microsoft Word, Outlook, and Excel
  • Detail-oriented and highly organized
  • Ability to simultaneously manage multiple projects and individuals in crisis


Preferred Candidate

  • Bilingual, esp. Spanish
  • Experience in working with victims of domestic abuse
  • Experience with principles of database management
  • Experience with Raiser’s Edge
